JOB PURPOSE:
The Graduate Support Clerk provides secretarial and administrative support services in the areas of graduate recruitment/admission, in-program graduate student records and other graduate-related areas.
SUMMARY OF DUTIES:
1. Assists with processing of admission files, including monitoring of students’ admission conditions to ensure these are met prior to registration.
2. Assists with in-program student issues e.g., monitoring admission conditions for registered students, submission of grades, academic standing, registration, course substitutions
3. Assists with the Ontario Visiting Graduate Student Program and the Visiting Graduate Research Student processes
4. Liaises with the Registrar’s Office to ensure the accuracy of student records
5. Coordinates doctoral dissertation defences and assists with thesis/dissertation format checking
6. Assists with graduate recruitment (e.g., updating material, liaising with departments, support for on-campus recruitment events)
7. Assists in preparation of various statistical reports
8. Assists in development of on-going maintenance of forms used by the Faculty
9. Assists with the graduate faculty designation process
10. Other duties as assigned.
ESSENTIAL QUALIFICATIONS:
• Diploma in office administration or administrative experience as it relates to the duties of the position
• Demonstrated experience working with databases (e.g., UWinsite Student or compatible systems) for inputting data or generating reports
• Willingness to participate in on-going internal training for upgrading of skills.
PREFERRED QUALIFICATIONS:
Knowledge of Graduate program regulations and policies
• Knowledge of FIPPA regulations
• Knowledge of UWinsite Student
THE FOLLOWING TESTS WILL BE ADMINISTERED:
MS Word (Basic Level), MS Excel (Basic Level); Typing 30 NWPM
