The Union receives many inquiries regarding vacations, and it is understandable.
The confusion on vacation entitlement is usually in one of two areas:
- Year you are hired.
- When your vacation entitlement changes according to the Collective Agreement (CA).
Please see article 17:01 of the Collective Agreement, which speaks about vacation entitlements. Vacation entitlement listed in the CA is based on a calendar year as follows:

Individual entitlement
Your individual entitlement is calculated using your date of hire. (For positions that are not 12-month positions, your entitlement is excluding the laid off period). Your entitlement to the days is based on your anniversary date of your “day of hire”.
Eg.
Hired on May 1, 2022 = 5 days vacation in the 2021 calendar year (hired before July 1)
May 1, 2023 is 1 year completed service = 15 days vacation in the 2023 calendar year
May 1, 2024 is 2 years completed service = 15 days vacation in the 2024 calendar year
May 1, 2029 is 7 years completed service = 20 days vacation in the 2029 calendar year
University Permitted Benefit (Collective Agreement 17:01(b))
The University permits you to use your vacation day allotment before your anniversary date of that year with the understanding that if you used all your allotment and you quit your job, you may owe some money back to the university. That pay will be deducted on your last pay cheque.
- Year you are hired:
If you will be working at the university for more than 6 months but less than 12 (hired before July 1), you are entitled to 5 vacation days. The “University Permitted Benefit” applies to your 5 day entitlement. If you were hired after July 1, then you are not entitled to vacation until the following calendar year.
The following calendar year, everyone hired the previous year will be entitled to 15 days vacation based on your “individual entitlement”. The “University Permitted Benefit” may apply.
- Vacation entitlement changes according to the Collective Agreement (CA):
Your “years of service completed in the current calendar year” is what you look at to determine your vacation entitlement. Calculate that number and then look at the CA “vacation entitlement”.
Eg. This calendar year is 2029. If I was hired May 1, 2022, I would have completed 7 years of service (see eg. Under “Individual Entitlement”). Looking at the CA “vacation entitlement” I would be entitled to 20 days. The University Permitted Benefit may apply.
