UWinsite is the name of the University of Windsor Enterprise Resource Planning (ERP) System currently being implemented. The software platform selected is Oracle’s PeopleSoft system, and Deloitte Canada has elected as the university’s implementation partner. Once implemented, UWinsite will be the technological foundation of the campus in support of faculty and staff as they deliver exceptional educational experiences and service to students, colleagues and external organizations.
Broadly speaking, UWinsite will better meet the needs of the University’s students, and provide faculty and staff a means to support overall service excellence. Specifically, it will provide:
- Increased productivity by providing an integrated and intuitive system to meet both service needs and advisement needs;
- A comprehensive ability to apply data analytics to support campus decision making;
- Accurate and timely transactions that meet all service and audit requirements.
- The FIS (Financial Information System) will be replaced;
- The SIS (Student Information System) will be replaceds;
- A new Student Engagement System (CRM – Constituent Relationship Management) will be introduced to support recruitment, retention and enrollment management efforts.
Key representatives from respective faculties and / or departments were engaged throughout the selection and implementation process (2015-2016). As the project moves forward, these representatives, along with other members of the broader campus community, will be invited to participate in workshops and other project activities as required.
An Evaluation Committee, made up of representatives from across the institution and other specified stakeholders, were part of a comprehensive process to review and evaluate the Request for Proposal (RFP) submissions from vendors that ultimately informed a final recommendation for Oracle’s PeopleSoft to the University’s Board of Governors (Nov. 2016).
The University has engaged Deloitte Canada as its partner for the implementation of PeopleSoft on campus. Deloitte brings extensive experience with implementing PeopleSoft on other Canadian University campuses.The ability to draw from this experience, and to reach out directly to our sister institutions for interaction with our peers is an invaluable benefit to the implementation.
Yes. As part of the system selection process, focus groups and other designated University representatives will assess accessibility needs and regulatory requirements.

Over time, the scope will include modules to promote and provide for better relationships with potential and current students, as well as University alumni. The current scope will focus on Student Recruitment as we build capacity and knowledge on leveraging this powerful tool.
One of the primary goals of this project is to have a fully integrated campus system to address all key student and finance-related functions and their associated processes. As implementation progresses, assessments of integrations between existing systems and PeopleSoft will be performed. This could lead to changes to the final level of integration, which may impact the ability to access real-time information. It is anticipated that in general, access to real-time information will be enhanced. However, decisions about whether a certain business process (or workflow) should be real-time, semi-real or overnight will need to be made based on the specific requires of the process.
Where possible, the University will seek to address and integrate the maximum amount of features and functionality provided by existing campus shadow systems as part of UWinsite. A review of departmental requirements for operation of their applications was undertaken and included in the detailed specifications used in the RFP. While the intent is to maximize the amount of these requirements, inevitably some functions will remain outside of the new system and will need to be integrated during the implementation and transition process.
Any campus user of the legacy Student Information System (SIS) and Financial Information System (FIS) will be required to use UWinsite. Additionally, other users, depending on extent of functionality of the new Student Engagement System (CRM), may also be required to use system.
At this point in time, high level project milestones include the following:
- Spring 2017– CRM Phase 1 Go-Live
- Winter 2018 – FIS Go-Live
- Fall 2018 – SIS and CRM Phase 2 Go-Lives
While individual job responsibilities may change as a result of UWinsite implementation, training will be provided. The move to UWinsite will allow the University to examine processes and procedures and to modify them in such a way that it supports necessary improvements to the service offered to students, faculty and staff. The primary goal of this project will be to make the University more efficient and more responsive to the needs students, faculty, staff and other key partners and stakeholders.

Yes. Training resources will be provided to end users in a variety of formats including face-to-face, online, brief videos and more to ensure that all tasks can be fully performed to best utilize UWinsite across all campus departments.
